Graduation Procedures

The application process for students seeking a BSCS degree begins the semester prior to the semester the student intends to graduate.

The first step in the graduation application process is to submit a preliminary graduation packet to the dean's office the semester before graduation. This packet includes a degree plan, properly filled out with all semester and grade information shown and signed by the student's academic advisor. The preliminary packet is then reviewed by the dean's office to ensure all degree requirements are met. If any deficiencies are found, the student and the student's academic advisor are given written notice of the deficiency. The student should then seek the counsel of the advisor on how to remedy the deficiency in time for graduation.

The second step of the graduation application is to submit a completed application in the semester in which the student plans to graduate. Applications may be obtained from the office of the dean of the College of Engineering. This application requires the signature of the student's academic advisor, as well as the signature of the department chair. As part of the application process, a student is required to meet with the department chair for a final exit interview about the student's experiences in the department; a student can schedule his or her exit interview at the CS main office. It is during the exit interview that the department chair signs the graduation application.

Deadlines for graduation application submissions are printed in the schedule of classes each semester (refer to the UTEP Academic Calendar). Deadlines for submission of preliminary graduation packets are posted on the department bulletin boards and department television. It is the student's responsibility to be aware of deadlines and make sure that all paperwork is submitted on time. In order to ensure paperwork is submitted on time, it is strongly recommended that students take preliminary packets and graduation applications to their academic advisors two weeks prior to the final deadline. Failure to turn in paperwork to advisors before this two-week period may result in delays that will force the student to miss the deadlines. Consequences for late applications may include additional late fees or delay in graduation.
